Withdrwal Policy

At SSJ Journals, we are committed to maintaining transparency and integrity throughout the publication process. Authors are advised to submit their manuscripts only after careful consideration, as withdrawal of manuscripts after submission disrupts editorial workflow and misuses the valuable time of editors, reviewers, and publication staff.

General Policy on Withdrawal

Withdrawal of a manuscript is a serious action and should only be taken with valid justification. Once a manuscript is submitted, it enters into a structured editorial and peer review system involving multiple stakeholders. Authors who wish to withdraw their manuscripts are required to submit a formal written request stating the reason for withdrawal, signed by the corresponding author and all co-authors.

Free Withdrawal Policy

SSJ Journals allows free withdrawal of a manuscript only within 48 hours of initial submission. This applies if the manuscript has not yet been assigned to an editor or entered into the peer review process. Authors are encouraged to utilize this grace period if they have made a submission error or reconsidered submission.

Withdrawal During Peer Review Process

If an author chooses to withdraw their manuscript after 48 hours of the initial submission and during the peer review process, a withdrawal fee amounting to 25% of the total Article Processing Charges (APC) will be applied. This fee is intended to cover the editorial, administrative, and processing efforts already undertaken by the journal up to that point.

Withdrawal After Peer Review or Post-Acceptance

For manuscripts withdrawn after completion of the peer review process, acceptance, or during the production/publication phase, a withdrawal fee of 50% of the total APC will be charged. By this stage, the journal has typically invested significant editorial, reviewer, and typesetting resources, which justify the higher charge.

Unethical Withdrawal

SSJ Journals takes a strong stance against unethical or unjustified withdrawal. If authors do not respond to editorial communications regarding manuscript withdrawal or attempt to submit the manuscript elsewhere without official withdrawal confirmation, the manuscript may be blacklisted from future submission. The corresponding institution or funding agency may also be informed if ethical misconduct is suspected.

How to Request Withdrawal

All withdrawal requests must be sent via email to the editorial office of the specific journal, with the subject line clearly marked “Manuscript Withdrawal Request.” The email must include:

  • Manuscript ID and Title

  • Author(s) full name(s)

  • Reason for withdrawal

  • Signed statement of agreement by all co-authors
